Vaccine Stock Checks

Is anyone aware ofan electronic stock check of vaccines which allows for easy record keeping as required for CQC evidence. I would prefer not to be keeping any paper records. Thank you.

Thanks - they do but unless I am not looking at it properly it only has a count of vaccines not dates and batch numbers as received. I don't want a paper list of vaccine batch numbers as given to patients as we can do an EMIS search for that.

omg! i dont keep any of these lists,and didnt know you had to!
i check fridge daily and take a weekly record from the data logger but stock check batch numbers etc...ahhhhhhhhhhhhhhhhhhhhhh
OK so Aam i the only one that doesnt keep these records?

You're not alone, Ethel - we only realised we had to go this at my surgery shortly before our CQC visit.

We use the Smart Flu "app" at our surgery, usually only for flu & pneumonia, but it has all other imms (travel & routine UK imms) and you can enter batch numbers on it, so I'm thinking of trying this.

Once you've loaded that data its really quick & easy to record when you give an injection, so I think the time spent inputting data initially will be recouped by the time saved not having to enter info manually for every other. It also has a stick balance option.

Haven't used it for either of this options so can't comment on what it's like, but may be worth looking into.

You only have to have a record of stock you don't have to record who got the vaccine ( that as you say can be searched on comp)
We simply keep a ring file with a page for each vaccine with date and time received , who by, how many and then we cross off as we give, once a week I do a stock check to make sure the number tallies, and to order more.
We domt keep these as they are simply in case of cold chain break but if you wanted to when full could be scanned in same as our temp log
Cqc were fine with it.
We tried doing it on computer but found people didn't fill it in as it meant going to a comp to do it. The file just sits in the fridge so simple and quick.

just bought the  Smart Imms Clinic app and its brilliant
Yes did take time to enter all imms and Batch numbers etc but very time saving in clinic
also keeps record of your stock for yo
Dead easy when you need to order you can seen what your levels are of each item

Also has lot of other stuf fyou cna link into  it , letters , web pages etc

Lemon tree, SmartImms is a package that your surgery would have to buy. 

I have no idea how much it costs, but I would suggest it's worth looking into.

Can I throw a curve ball? How are we to manage this with the flu vaccines? Logging each one would be a time consuming nightmare!

This is my interpretation of the available information but not the law!

You don't need to log every vaccine given ( can if you want to but don't have to ) we just do a count at the end of each session so we know how many left.

we use system one and there is a brilliant stock control template 'dispensing'
it took me two hours to enter all of our stock and I update it when we have a delivery (which takes a few minutes). its excellent. when a vaccine is given a message pops up about taking it from stock and it adjusts the numbers. We have ours set to let us know if stock is getting low. I also keep the delivery notes with our fridge temp monitoring charts - filed in month of delivery.
